What Is an Email Alias and How Is It Used in Business?

What is an email alias?

An email alias is an alternative email address connected to an existing mailbox. It does not normally require a separate mailbox or user account. Messages sent to the alias are delivered to the mailbox associated with it.

For example, if your company has an account such as john@yourcompany.com, addresses like management@yourcompany.com or contact@yourcompany.com can be connected to that mailbox.

Alias versus mailbox

A mailbox has its own username, password, storage space and message folders. An alias cannot normally be used to sign in independently. Its purpose is to provide an additional address for an existing mailbox.

Why do businesses use aliases?

Aliases make it easier for one employee to manage addresses representing different responsibilities. Small and medium-sized companies can use them for sales, accounting, management or contact addresses without creating unnecessary accounts.

Useful when employees change roles

When responsibilities change, the public email address can remain the same. For example, sales@yourcompany.com can simply be reassigned to the employee who takes over the sales function.

Supports a professional identity

Role-based aliases allow customers to communicate with a department rather than depending on the name of an individual employee. This makes business communication more consistent.
